Purpose of the role:
Ensuring control and maintenance of Corporate Business Management System Documentation
Critical Responsibilities (MAE/MATTE/HSES*):
Ensuring that all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSES Procedures
Ethics and Compliance Responsibilities:
Ensure that all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures, and to complete any compulsory compliance training as required
Areas of Accountability, Responsibility and Competence:
PROCESS
- Coordinate the issue, update and distribution of BMS documents, whether electronic or hardcopy
- Allocate unique document numbers, using the BMS document Hierarchy
- Monitor BMS document reviews for completion
- Issue notifications for overdue documents
- Regularly review the BMS in their area of responsibility and address quality shortfalls, errors and discrepancies including outdated Owners
- Respond timely to requests for help and support
INTERFACES
- Be the primary BMS contact for anyone seeking guidance on using the BMS management system and associated processes
- Where documents do not meet the criteria for the BMS, advise owners on the correct document storage system
- Support the Senior Document Controller and provide input to meetings with BMS document owners and other stakeholders to monitor document progress
GOVERNANCE & REPORTING
- Ensure BMS documents are current and accessible
- Ensure all document meta-data is complete and current
- Perform quality control checks on BMS documents to ensure they comply with BMS Templates
- Review and implement procedures and work instructions where required for BMS document control activities
- Monitoring the BMS using Key Performance Indicators (KPIs) and BMS platform dashboard
- Provide Input to reports on status of documents against KPIs as required
- Propose improvement opportunities across all areas of the BMS
SYSTEM & TRAINING
- Act as the system SME and provide training and support to BMS users
Critical Skills*, Qualifications, Experience, etc.:
- Awareness and understanding of how the BMS enables safe operations and risk mitigation
- Proven experience working with Business Management System Processes within the oil and gas industry
- Awareness of BMS documentation hierarchies and governance
- Able to work using own initiative whilst part of a team
- Excellent communication skills, collaborates effectively with all levels of the organisation
- Accuracy and attention to detail with excellent organisational skills.
