Purpose of Role: 

· Facilitate the efficient management and control of documentation within the Integration department, focusing on compliance, accuracy, and accessibility.

· Ensure the integrity of project documentation and records, supporting project deliverables and operational requirements.

· Collaborate closely with project teams and stakeholders to ensure documentation processes align with business strategies and regulatory frameworks.

· Support the broader Integration objectives by improving document control practices, which enhance project efficiency and compliance.

 

Critical Responsibilities (MAE/MATTE/HSES*):

Ensure all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSES Procedures.

 

Ethics and Compliance Responsibilities:

Ensure that all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures and to complete any compulsory compliance training as required.

 

Areas of Accountability, Responsibility and Competence:

Document Control and Management

· Maintain and manage electronic and physical documentation systems to ensure easy access and retrieval of documents

· Ensure all controlled documents are accurate and up-to-date, adhering to internal standards and regulatory requirements

· Coordinate the transition of documents during project phases, ensuring seamless information flow and integrity.

· Train and support team members on document management procedures and systems.

Compliance and Quality Assurance 

· Monitor compliance with internal controls, policies, and procedures for document management.

· Conduct regular audits to ensure adherence to quality standards and regulatory requirements.

· Implement continuous improvements to enhance the efficiency and reliability of the document management system.

Collaboration and Support 

· Liaise with project teams and external partners to ensure documentation requirements are met promptly and accurately.

· Provide technical support and guidance on document management tools and best practices.

· Assist in the resolution of documentation-related queries from project stakeholders. 

 

Critical Skills*, Qualifications, Experience, etc. :

Technical Skills:

· Proficient in document management software and systems relevant to the oil & gas sector.

· Strong understanding of regulatory compliance and quality assurance practices in document control.

Non-Technical Skills:

· Excellent organizational and communication skills.

· Ability to work effectively under pressure and manage multiple priorities.

Professional Experience:

· Experience in managing document control systems within a project-driven environment, preferably in the oil & gas industry.

· Familiarity with document numbering conventions, revision control processes, and transmittal management in a project execution environment.

Education:

· Bachelor's degree in relevant field.

Language:

· English: Proficient (written and spoken).

· Spanish: Intermediate or above.
