Purpose of Role:
· Manage the creation, approval, distribution, and maintenance of documents within the project organization.
· Ensure that all project-related documents are properly managed and controlled throughout the project lifecycle using the applicable Document Control Systems and processes.
· Support the broader Integration objectives by improving document control practices, which enhance project efficiency and compliance.
Critical Responsibilities (MAE/MATTE/HSES*):
Ensure all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSES Procedures.
Ethics and Compliance Responsibilities:
Ensure that all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures and to complete any compulsory compliance training as required.
Areas of Accountability, Responsibility and Competence:
Document Control and Management
· Creates internal and supplier records as required and prepares documents for transmittal to suppliers and other stakeholders according to project specific procedures
· Maintains information in project Electronic Document Management System (EDMS)
· Creates and maintains document numbers in the project’s Master Document Register (MDR) including supplier’s numbers (doc. ID).
· Analyzes and controls all technical documentation related to department and project activities within contractual requirements and Company procedures (including confidentiality levels)
· Generates reports that could include: Late Reports for document reviews and approvals, Status Reports, Open Reports and others as required and addresses identified problems.
· Follow document control procedure in transmitting and receiving documents.
· Generates and maintains the project’s documents distribution matrix
· Generates and maintains the MDR for project team use and conciliation with suppliers
· Handles and registers all outgoing and incoming transmittals according to project document control procedure
· Reviews document and transmittal quality according to check list for document control.
· Suggests improvements to increase efficiency and improve communication of departmental and functional information.
· May handle confidential or sensitive information or issues.
· Keeps well-informed or latest trends and technology related Document Control functions
· Identifies and suggests ways to improve the efficiency and effectiveness of the function.
Compliance and Quality Assurance
· Monitor compliance with internal controls, policies, and procedures for document management.
· Conduct regular audits to ensure adherence to quality standards and regulatory requirements.
· Implement continuous improvements to enhance the efficiency and reliability of the document management system.
Collaboration and Support
· Liaise with project teams and external partners to ensure documentation requirements are met promptly and accurately.
· Provide technical support and guidance on document management tools and best practices.
· Assist in the resolution of documentation-related queries from project stakeholders.
Critical Skills, Qualifications, Experience, etc. :
Technical Skills:
· Broad knowledge of document control processes, applications and IT supporting systems as:
o Omega Pims
o Microsoft Office
o Sharepoint
· Proficient in document management software and systems relevant to the oil & gas sector.
· Strong understanding of regulatory compliance and quality assurance practices in document control.
Non-Technical Skills:
· Excellent organizational and communication skills.
· Ability to work effectively under pressure and manage multiple priorities.
Professional Experience:
· 3+ years relevant document control experience, preferably with both operators and contractors
· Experience with Pims is preferred
· Experience with Mexican field development projects is preferred
Education:
· Bachelor's degree in relevant field.
Language:
· English: Proficient (written and spoken).
· Spanish: Intermediate or above.
