Purpose of Role:

  • Supporting the Reward and Company Secretarial teams in managing the administration of the Harbour Energy’s global discretionary and all-employee share schemes through external share scheme administrators. 
  • The role will be required to assist with the administration, reporting, and operational delivery of employee share plans. Key responsibilities include supporting plan event management, working with data, preparing draft communications, and coordinating with company secretarial, reward and payroll teams as well as external vendors including share plan administrators and Employee Benefit Trustees to ensure accurate and timely execution of share plan activities.

Ensuring that all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSES Procedures

 

Ethics and Compliance Responsibilities:

Ensure that all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures, and to complete any compulsory compliance training as required

 

Areas of Accountability, Responsibility and Competence:

  • Administration and Support: Assisting in the day-to-day administration of share plans, such as preparing for grant, vesting and other events including as dividend payments and invitation windows.
  • Reporting and Data Management: Contributing to the production of accurate and timely reports on share plan data including processing joiners and leavers and updating records both internally and externally to the administrator. 
  • Annual Report: Assist with collation of data for and verification of the Directors’ Remuneration Report of the Harbour Energy Annual Report & Accounts
  • Employee Queries: Monitoring the share plans inbox and responding to discretionary and all-employee share plan queries from current and ex-employees. 
  • Employee Communication: Supporting the development of engaging and compliant communications including emails, Viva Engage posts, and intranet materials to improve engagement with share plans and educate employees globally on their equity awards and the plans available to them. 
  • Stakeholder Coordination: Working closely with various internal teams (HR, payroll and Company Secretarial) and external Plan Administrators to ensure smooth plan operations. 
  • Compliance and Accuracy: Helping to ensure that processes are documented and controlled and that share plan administration and reporting adheres to relevant laws, regulations and internal policies. 
    System and Portal Management: Assisting in the management of core systems and portals used for share plan administration and employee access including monitoring communications from CPM and JPM through JIRA and administration systems. 
  • Deputise, as and when required, for the Executive Compensation Adviser and Assistant Company Secretary.
  • Stakeholder Management: effective working with internal and external stakeholders.

 

Critical Skills, Qualifications, Experience, etc.:

Essential

  • Strong reward background with an interest in completing the Tapestry Certificate in Share Plans or completed Tapestry Certificate
  • Advanced Microsoft Excel skills
  • Ability to effectively manage internal and external key relationships 
  • A strong eye for detail
  • Excellent organisational, written and verbal communication skills
  • Enthusiastic, prepared to take on challenges and work in a high paced environment

Desirable

  • Previous experience of administering share plans for a listed company
  • Project management skills

Experience:

  • Typically 1-3 years in a share plans or a related field
