Purpose of the role:
To provide high quality business, administrative and coordination support to the Communications function, enabling the team to operate efficiently and deliver its objectives. The role supports day to day operations, planning and delivery of communications activity, events and projects, working closely with Communications colleagues, EAs and external suppliers.
Critical Responsibilities (MAE/MATTE/HSES):
- Ensure that all activities are carried out in a safe manner complying with all regulatory requirements, legislation and Harbour Energy HSEQ procedures
- Ensure compliance with all health, safety and environmental requirements with working within your office base.
Ethics and Compliance Responsibilities:
Ensure that all activities and behaviours are carried out in accordance with Harbour Energy’s Ethics and Compliance Policies and Procedures, and to complete any compulsory compliance training as required
Areas of Accountability, Responsibility and Competence:
Business & Administrative Support
- Provide comprehensive administrative support to the Communications team, including arranging meetings, booking rooms, coordinating logistics for team events, workshops and training sessions.
- Support senior members of the Communications leadership team with diary coordination, travel arrangements, expenses and meeting logistics when required.
- Act as a central point of contact for practical and operational queries within the Communications function.
Events & Activity Support
- Provide administrative and logistical support for internal and external events, including coordinating travel and accommodation, liaising with venues and suppliers, and supporting on site arrangements where required.
- Support charitable, sponsorship and stakeholder events and dinners in coordination with Communications advisers and EAs.
- Assist with filming, photography and agency meetings by coordinating logistics and schedules and escort crews during shoots.
Coordination & Project Support
- Support the coordination of Communications projects and activities, helping to track actions, timelines and deliverables.
- Liaise with internal stakeholders and external suppliers to support the production and delivery of communications and marketing materials.
- Provide support to the Corporate Affairs Response Team (CART), including fulfilling the role of log taker during incidents (training provided).
Systems, Process & Content Support
- Support the maintenance and updating of the intranet working alongside Communications advisers to ensure content is accurate and up to date.
- Support the updating and maintenance of Communications procedures and documentation (e.g. BMS content).
Financial & Operational Support
- Provide budget and invoicing support for the Communications function, including raising purchase requests, processing invoices and supporting approval processes in line with company procedures.
- Raise e cards or corporate gift requests as required, ensuring appropriate approvals are obtained.

- Strong interpersonal and communication skills, with the confidence to liaise with stakeholders at all levels.
- Proficient in Microsoft 365 tools, including Outlook, Word, Excel, PowerPoint Teams and Co-pilot.
- Experience working with systems such as SAP, SharePoint or similar business systems.
- A flexible, proactive and collaborative approach, with a strong team player mindset.
Desirable
- Experience supporting Communications, Marketing or Corporate Affairs teams.
- Experience coordinating events or supporting project delivery.
- Experience working with external agencies or suppliers.
- Experience supporting content updates on intranet or website platforms.
